On 4 September 2026, representatives of the consortium of the international project SEDWU- Scalable Electronic Document Workflow for Universities, in which the State Tax University (DPU) is a partner, held another working meeting.
The project aims to develop a modern and scalable electronic document management model for higher education institutions, covering document standardisation, process optimisation, automation, digital system integration and the use of artificial intelligence.
During the meeting, the partners discussed the preparation of a key project deliverable, D2.2- Standardised Document Forms & Optimised Workflow Guide, which defines approaches to standardising university documents and establishing efficient digital workflows for their processing.
Particular attention was paid to:
- standardised electronic document forms and a unified metadata framework;
- optimisation of document approval, signing and execution procedures;
- automated data entry and integration with university information systems;
- deadline monitoring and transparent tracking of document status;
- digitalisation of services for students, staff, researchers and alumni;
- information security, personal data protection and digital archiving;
- the use of artificial intelligence for document classification, information retrieval, completeness checks and the automation of routine operations.
The State Tax University made a substantial contribution to this joint work. Following DPU’s proposals, two new workflows were incorporated into the document: the processing of incoming correspondence, management instructions and execution monitoring, as well as a digital workflow for admissions and student enrolment.
The solutions proposed by DPU provide for clear allocation of responsibilities, automated deadline monitoring, integration with digital systems and reduced duplication of data entry. In particular, the proposed admissions workflow makes effective use of Unified State Electronic Database on Education (EDEBO) data and Ukraine’s Diia digital services, helping make the enrolment process faster, more convenient and accessible for applicants.
All consortium partners actively contributed to the discussion, shared their recommendations and agreed on the next steps for further development and finalisation of the document.

The SEDWU project team will continue its work towards developing a practical next-generation model of electronic document management for universities- transparent, secure, integrated and focused on the needs of its users.
